2.2 Automatically from your device through website logs, necessary cookies and, only after the required consent, Statcounter.

3. Lawful bases
3.1 Contract means processing needed to take steps at your request, create and manage an account, accept and fulfil an order, take payment, deliver goods and handle contractual issues.
3.2 Legal obligation means processing needed for tax, accounting, consumer protection, product safety, fraud prevention or other legal duties.
3.3 Legitimate interests means our interests in operating and securing the website, administering the business, preventing fraud, keeping appropriate records, improving service and establishing or defending legal claims. We consider the impact on individuals before relying on this basis.
3.4 Consent is used for non-essential analytics cookies and marketing where consent is required. You can withdraw consent at any time without affecting earlier lawful processing.
4. Who receives personal information
4.1 Stripe, which processes online payments and fraud-prevention information under its own privacy information and its arrangements with us.
4.2 Mailchimp, which stores subscriber details and sends the marketing newsletter. Mailchimp records subscription status, delivery, opens, clicks and unsubscribe requests where those features are enabled.
4.3 Statcounter, only where the user has consented to analytics cookies, to help us understand website use and performance.
4.4 Cloudflare provides website hosting and storage. Resend delivers transactional emails, including quotations, account notifications and order confirmations. OpenAI provides ChatGPT sign-in and AI room-image features. These providers receive the information needed for the feature you use. Room-image requests may include your uploaded photographs and configured door design; avoid uploading photographs containing people, private documents or other unnecessary personal information.
4.5 Our employees and authorised contractors who need information to manufacture, administer, deliver or support an order. Deliveries are normally made using our own vehicles.
4.6 Professional advisers, insurers, accountants, banks, payment providers, regulators, courts, law-enforcement authorities or prospective buyers of the business where disclosure is necessary and lawful.
4.7 We do not sell personal information.
5. International transfers
5.1 Some providers, including Stripe, Mailchimp, Statcounter and cloud service providers, may process information outside the United Kingdom.
5.2 Where UK data-protection law restricts a transfer, we rely on an adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to approved contractual clauses, or another lawful safeguard. Provider privacy information may give further details.
5.3 Contact sales@panelpartner.co.uk for information about the safeguard relevant to a particular transfer.
6. Cookies and similar technologies
6.1 Necessary cookies and similar technologies support functions such as security, customer accounts, checkout, load balancing and remembering privacy choices. They may be used without consent where legally permitted.
6.2 Statcounter uses non-essential technologies to collect information about website use. We will request consent before enabling these technologies. Refusing analytics must not prevent use of the website’s essential functions.
6.3 You can accept or reject non-essential cookies and later change your choice through the website’s cookie controls. Browser settings can also block or delete cookies, although blocking necessary cookies may affect website functions.
6.4 We do not currently use Google Ads or Meta Pixel. If advertising technology is added, this policy and the website’s consent controls will be updated before it is activated.
7. Marketing
7.1 We use Mailchimp to send newsletters to people who have consented or where electronic-marketing law otherwise permits the message.
7.2 You can unsubscribe through the link in any newsletter or by emailing sales@panelpartner.co.uk. Service messages about an account, order, delivery, collection, safety matter or complaint are not marketing and may still be sent.
7.3 After an unsubscribe request, we may keep the minimum information needed on a suppression list so we do not send further marketing inadvertently.
8. Retention
8.1 We keep information only for as long as reasonably necessary for the purpose collected, including legal, tax, accounting, product, insurance and dispute requirements.
8.2 Order, invoice, payment-status and related correspondence records are normally retained for 6 years after the end of the relevant financial year. A record may be kept longer where a claim, investigation, safety issue or legal hold requires it.
8.3 An account may be kept while active. When closed, information linked to orders remains subject to the order-retention period.
8.4 Newsletter data is kept until unsubscribe or withdrawal. A minimal suppression record may then be retained. Security logs and analytics data are kept for shorter configured periods appropriate to their purpose.
8.5 Information is deleted, anonymised or securely destroyed when no longer needed.
9. Security
9.1 We use proportionate organisational and technical safeguards designed to protect personal information against loss, misuse, unauthorised access, alteration and disclosure.
9.2 Access is limited to people and providers with a business need. No internet service is completely secure, so absolute security cannot be guaranteed.
10. Your rights
10.1 Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability, or to object to processing based on legitimate interests or direct marketing.
10.2 Where processing relies on consent, you may withdraw it at any time. You may also complain to the Information Commissioner’s Office.
10.3 Email sales@panelpartner.co.uk to exercise a right. We may request information needed to confirm identity and scope. We normally respond within one month, subject to lawful extensions.
10.5 To raise a data-protection complaint with us, email sales@panelpartner.co.uk with the subject “Data protection complaint” and describe your concern. We will acknowledge receipt within 30 days, investigate and provide appropriate progress updates and an outcome. You can also contact the ICO.
10.4 The Information Commissioner’s Office can be contacted through https://ico.org.uk/make-a-complaint/ or by telephone on 0303 123 1113.
11. Children
11.1 The website and goods are not directed at children, and we do not knowingly invite children to create accounts or place orders. Contact us if you believe a child has provided information improperly.
12. Changes to this policy
12.1 We may update this policy when our processing, providers or legal obligations change. The current version will be published at https://panelpartner.co.uk/privacy-policy with its effective date.
12.2 Where a change materially affects how we use information, we will take reasonable steps to bring it to the attention of affected individuals.
